Ask about a bill or payment

For a question about your child’s invoice or payment, contact the person who manages billing at your childcare program. They can check your agreement, funding approval and account together.

You do not need to work out the cause before asking. A clear description of what looks wrong is enough to begin.

Look at the care period as well as the invoice date. A bill issued this month might cover next month’s care, and an adjustment might refer to an earlier period.

If the amount differs from last month, check whether the number of scheduled days changed, a new rate started, or subsidy coverage began or ended. Reading a parent invoice walks through the common reasons.

For a payment question, check the date, amount and payment reference you have. A payment may have been received but not yet applied to the invoice you are looking at.

Give the billing team:

  • Your child’s name and program or site.
  • The invoice number or billing reference, if you have it.
  • The care period or payment date.
  • The amount you are asking about.
  • A short description of what you expected and what you see.

Use the communication channel your program asks you to use. Do not send passwords or complete payment-card details.

My child’s September invoice is higher than August’s. Could you show me which days or rates account for the difference?

I paid $200 on September 3, but the invoice still shows $200 owing. Could you check which bill the payment was applied to?

Our subsidy approval starts on August 1. Could you check whether it was included in the August bill and explain any adjustment needed?

The team may explain the existing amount, ask for an approval or payment reference, or identify a correction that is needed.

If there is a credit, ask whether it will reduce another bill or be refunded under the program’s policy. Those are different steps, so it helps to know which one to expect.
